Starting a business is exciting until someone says, “You need a GSTIN.” Many first-time owners put off GST registration online because the portal looks confusing. It isn’t that hard once you know the order of steps. This guide covers who needs to register, what to keep ready, and how to apply without getting stuck.

Who needs GST registration?

You must register if your yearly turnover crosses the limit set by the government. For most states, the limit is ₹40 lakh for businesses selling goods and ₹20 lakh for service providers. Some special category states have lower limits.

Some people have to register no matter how small their turnover is. This includes:

  • Anyone selling goods to another state
  • Sellers who sell through e-commerce platforms such as Amazon or Flipkart
  • Casual taxable persons and non-resident taxable persons
  • Businesses that must pay tax under reverse charge

If you are not sure which group you belong to, ask your CA before you apply. Limits and rules do get updated, so also check the latest notifications on the GST portal.

Documents to keep ready

Collect these before you open the portal. It saves a lot of time.

  • PAN card of the business or the owner
  • Aadhaar card of the owner, partners or directors
  • Passport-size photograph
  • Proof of business address, such as an electricity bill, rent agreement or property tax receipt
  • Bank account proof, such as a cancelled cheque or the first page of the passbook
  • Proof of business constitution, such as a partnership deed or certificate of incorporation, if it applies

You also need a mobile number and an email address that you can access, because the portal sends OTPs to both.

How to apply for GST registration online

Follow these steps to apply for GST registration online on the official portal, gst.gov.in:

  1. Open the portal. Go to gst.gov.in, then click Services, then Registration, then New Registration.
  2. Fill in Part A. Choose “Taxpayer,” select your state and district, and enter your business name, PAN, email and mobile number. You will get two OTPs. Enter both.
  3. Note your TRN. After the OTPs are verified, the portal gives you a Temporary Reference Number. Save it.
  4. Log in with the TRN. Choose the TRN option, enter the number, and complete the captcha and OTP.
  5. Fill in Part B. Add business details, promoter or partner details, the principal place of business, goods or services you deal in, and bank details.
  6. Upload documents. Keep each file within the size limit shown on the portal. Clear scans reduce the chance of a query.
  7. Verify and submit. Sign using Aadhaar e-sign, EVC or DSC, depending on your business type.

Once you submit, the portal shows an Application Reference Number (ARN). This is the number you use to track your GST number apply request.

What happens after you apply

An officer reviews your application. If everything is in order, approval usually comes within about seven working days. If something is missing, the officer sends a notice asking for clarification. You get a few days to reply on the portal. Reply in time, because a missed deadline can lead to rejection.

Some applicants are asked to visit a GST Suvidha Kendra for Aadhaar authentication or biometric verification. Carry your original Aadhaar and PAN if you get that message.

After approval, you can download your GST certificate from the portal and start issuing tax invoices.

Mistakes that get applications rejected

Most rejections come down to small errors:

  • Name on the form does not match the PAN
  • Address proof is old, blurry or in someone else’s name without a consent letter
  • Wrong business activity or HSN code
  • Bank details entered incorrectly
  • Mobile number or email that belongs to a consultant who is no longer reachable

Read every field once more before you click submit. A five-minute check can save you weeks.

How much does GST registration cost?

The government charges nothing for GST registration. If you do the GST registration apply process yourself, it costs you only your time. A CA or consultant will charge a service fee, and it varies, so ask for the price in writing before you hand over your documents.

Frequently asked questions

Can I do GST registration online without a CA?
Yes. The portal is built for self-filing, and many small business owners register on their own.

How long does it take to get a GSTIN?
Often around seven working days, but it takes longer if the officer raises a query.

Is GST registration needed for a small home business?
Only if your turnover crosses the limit or your business falls in a mandatory category, such as selling through e-commerce platforms or across state lines.

Can I use a different address than my home?
Yes, but you must provide valid proof for that address, plus a no-objection letter if it belongs to someone else.

Final thoughts

GST registration online is a simple process when your documents are ready and your details match across all papers. Take your time with the form, double-check names and numbers, and keep your ARN safe. Once you have your GSTIN, the next steps are checking your registration status and downloading your certificate, which we cover in our next posts.
